Gmail Integration — AI Email Operations Center
Destination KP uses an internal tool, the AI Email Operations Center, to help authorized staff triage and respond to emails sent to our business support inbox (e.g. booking inquiries, membership questions, and facility complaints). This section describes how that tool accesses and handles Gmail data.
Who can connect a Gmail account
Only authorized Destination KP staff members may connect a Gmail account to this tool. It is not offered to the general public and does not access any Gmail account other than those our staff explicitly connect for this purpose.
What Google account access we request, and why
- View emails (gmail.readonly) — to display incoming support emails to staff for review
- Send email (gmail.send) — to send staff-authored or staff-approved replies from the connected inbox
- Manage labels and read status (gmail.modify) — to mark messages as read and keep the inbox organized after they're handled
AI-assisted processing
Email content may be analyzed by an AI model to help categorize, prioritize, and draft suggested replies for staff to review before anything is sent. No reply is sent automatically without a staff member's action. This processing is used solely to support our own internal support workflow — it is never used to serve ads, and Gmail data is never sold or shared with third parties for their own purposes.
Storage and security
Gmail OAuth credentials are encrypted at rest before storage. Access tokens are short-lived, and a staff member can revoke access at any time by disconnecting their Gmail account in the tool's settings, which immediately deletes the stored credentials and any emails, threads, and AI analysis synced from that account.
Data retention
AI-generated analysis of an email (its category, priority, and suggested reply) is kept only for a limited, configurable retention window and is automatically deleted once it expires. This does not affect the underlying email itself, which remains in the connected Gmail account under Google's own retention and deletion controls.
Destination KP's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
